Job Description: Performs complex secretarial work and routine administrative support on the Nueces Unit. Works under limited supervision with considerable latitude for the use of initiative and independent judgment. Work involves disseminating information, maintaining filing systems and administrative support work. Assumes the duties of, but not limited to, checks references/license of new applicants; ensures hiring forms, Thurston letters, Ferguson letters, and FMLA letters are completed according to policy. Assist unit director in ensuring all aspects of complaint/grievance procedures are followed. Work involves answering correspondence, reviewing mail, providing information and instructions to personnel, and performing advanced clerical duties. Maintains files and reports, receives visitors, and assembles and organizes information for supervisor. Maintains human resources, fiscal, administrative, or other records and develops office forms or procedures. Attends meetings to record official action and significant parts of discussion and prepare draft of minutes for review by supervisor. The completion of work requires occasionally originating new methods and/or techniques. Work is performed under the general supervision of the Administrative Assistant II, and under the general direction of the Unit Director. Must understand that duties, location of work, and shift pattern are subject to change as determined by the administration to meet the needs of the hospital. Must understand that job may include exposure to blood and infectious material.
Knowledge Skills Abilities: Knowledge of working in an Office Setting Knowledge of Human Resource Services (hiring, terminating, disciplinary letters, etc.). Ability to implement administrative procedures and to evaluate their effectiveness; to interpret rules, regulations, policies and procedures. Experience typing correspondence, memos, statistical reports using Microsoft Office software. Experience handling confidential information. Skilled in the use of computer equipment and software to include Internet Explorer, Microsoft Word, Excel and Microsoft Outlook, CWS, and Avatar PM. Ability to multi-task. Typing efficiency - at least 60 WPM. Self motivated. Ability to work well with others.
